Organization Description

Design Trust for Public Space is a nonprofit organization dedicated to the future of public space in New York City. Our projects bring together city agencies, community groups and private sector experts to make a lasting impact –through design – on how New Yorkers live, work and play. For 26 years Design Trust has been a leader in the public space movement. Native New Yorker Andrea Woodner founded the Design Trust in 1995 to bring design expertise and systems thinking to the public realm, when public space was often considered an afterthought. Design Trust’s work can be seen throughout all five boroughs and has inspired other cities. 

Our current and upcoming projects include: Design Trust RFP: The Restorative City, a call for projects dedicated to exploring how public space and the built environment can be used as a tool to advance health equity; Opening the Edge, a resident-led process to design a new public space at the Lillian Wald Houses and serve as a model for NYCHA citywide; Neighborhood Commons, working with NYC Small Business Services we will provide place-based organizations (such as BID’s) and small businesses with the tools to recover as key community anchors; Turn Out NYC, a project to increase access to arts and culture in public spaces across the city, in partnership with SITU and the Mellon Foundation; and Alfresco NYC, a multi-stage, coalition-led effort to define the future of Open Restaurants and outdoor dining for New York City.  Find out more at www.designtrust.org.

Position Summary

The Administrative Manager oversees office operations and internal affairs of the Design Trust. The Manager, working closely with the Executive Director, is responsible for operations, fiscal management, human resources, and workflow to ensure that the organization runs smoothly while maximizing quality and efficiency.  The Manager will help to bridge the Programs teams, providing support for projects, outreach, and events. The Manager should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills. They must enjoy multitasking and working within a fast-paced, entrepreneurial environment.  Sharing our passion about public space and our mission, the Manager, in coordination with the staff of ten, provides essential administrative and financial support for Design Trust.

Reports to:  Executive Director

Responsibilities include: 

Administration & Operations – Oversee and manage internal systems and operations, working closely with the Executive Director, to ensure that the organization meets its missions. This includes

  • Managing Design Trust’s premises, 40 Worth Street office and the upcoming renovation of the space
  • Overseeing technology and communications equipment and systems and our IT Management contract
  • Manage all vendors and contractors
  • Manage all technology consultants, human resources, timekeeping and liaise with PEO (health and benefits, payroll for staff of ten, in compliance with employee policies and procedures.)
  • Support scheduling and recording of Board and Committee meetings
  • Provide administrative support to Executive Director as needed.

Program Support – Provide support to program team on a number of important public space projects.

  • ·       Manage the Fellow Forum initiative, creating structure and organization around our import network of past fellows
  • ·       Manage the Fellows Forum Grant initiative   
  • ·       Support the seven active projects in Design Trust’s portfolio with administrative support

Financial Management – Support internal financial procedures:

  • Recordkeeping, including internal controls
  • Risk management for adherence to best fiscal and governance practices
  • Manage part-time bookkeeper and part-time controller 

Required Background, Skills and Qualifications:

  • Bachelor’s degree and at least 2 to 3 years experience in nonprofit management
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and meet deadlines
  • Demonstrated knowledge of office administration, management, technology, equipment and systems
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate highest level of responsiveness
  • Ability to work independently while comfortable as part of a diverse, multi-disciplinary team, including board, staff, supporters, and the public
  • Thrives in dynamic, fast-paced work environment; ability to handle multiple tasks and projects simultaneously with attention to detail
  • Robust intellectual curiosity and problem-solving skills
