Description: 

The Document Control Contract Specialist will work in the Technical Resources group, supporting an International Healthcare & Higher Education Project. The Document Control Specialist will support Project Managers in the daily operations of document control, management and scheduling.

Job Responsibilities:

  • Utilize electronic filing and web-based project management, construction administration systems store, manage and track pertinent documents.

  • Scan image, organize and maintain documents.

  • Route and track drawings, meeting notes, Contracts & Bids, Addenda & Bulletins and archive record sets and inactive records in accordance with the records retention practices.

  • Assist project managers develop and maintain documents such as meeting agendas, meeting minutes, drawings, specifications, approvals, and related items.

  • Periodically train other employees on records management procedures and policies which include documentation, retention and retrieval.

  • Assist with migrations, audits and perform administrative tasks as needed.

  • Control the retrieval of documents. Receive and process requests for information or RFI’s and maintain via tracking logs.

  • Assist project managers with organizing and compiling forms and receipts for reimbursable invoicing.

     

Qualifications:

  • Extensive prior experience in the construction field or Bachelor’s Degree and three (3) years’ working experience.

  • Required working knowledge of design & construction terminology.

  • Ability to work independently and be self-directed.

  • Highly motivated; able to work in a fast paced environment and able to meet deadlines.

  • Ability to remain focused, able to carry out tasks in a timely manner.

  • Ability to be detailed oriented, dependable, trustworthy and ability to work with complex and time sensitive documents.

  • Familiarity with Document Control Systems, computer savvy.

  • MUST be well versed in Newforma, Primevera PM (including Primavera 6 (scheduling preferred but not essential) MS Word, MS Excel, & Adobe Acrobat required..

  • Familiarity with Bluebeam and BIM 360 is preferred, along with related document control software.

  • Ability to prioritize, possess excellent time management and trouble shooting skills.;

  • Possess strong interpersonal communication skills.

  • Ability to use scanning equipment.

  • Will work in the New York Office.
