Roman and Williams Buildings and Interiors, a high-profile interior and architectural design firm in New York City with interesting and prestigious projects worldwide, seeks a Project Coordinator to join our team focused on single-family residential projects across the US, each with a decidedly unique creative take and diverse coordination challenges.

This position requires an exceptionally organized and motivated individual with a minimum of 5 years of experience, and welcomes applicants with a project coordination background in architecture, design, construction or other project-related field.

The ideal candidate will have a proven record of tracking deadlines, tasks, team assignments, and critical paths across multiple complex projects simultaneously.  Important qualities include exceptional organizational skills, flexibility in multi-tasking, resourcefulness, self-motivation, strong written and oral communication skills, and aptitude for working with a team in a dynamic, fast-paced environment.  Candidates should be able to identify, develop, and deploy the most efficient tools and processes for tracking and managing work across multiple projects to ensure timely completion of work.  The Project Coordinator will monitor and drive team progress on a variety of project deliverables and milestones including presentations, client approvals, consultant coordination, construction drawings and specifications, as well as the procurement and decorative installation.    

This position supports and directly reports to our Residential VP and requires disciplined self-management and proactive team coordination, including developing and updating project schedules, task lists, team assignments, and tracking work to completion across architectural and decorative teams.  This is an outstanding opportunity to work on meaningful projects for private clients at the highest level.

Responsibilities would include but not be limited to:

  • Generating & maintaining project schedules using Microsoft Project and calendar software.
  • Generating weekly lookaheads for both architecture & FFE scope per project.
  • Tracking team progress towards deadlines.
  • Maintaining tracking documents for open design items on each project, to be referenced when generating meeting agendas, with an understanding of the steps and deliverables necessary to close them out.
  • Logging and filing incoming RFIs, submittals, and other external correspondence & track progress to completion/resolution.
  • Monitoring general project correspondence for impacts on tasks and decisions.
  • Monitoring and updating team task lists and liaising with studio VP and team to ensure timely completion.  
  • Participate in project coordination calls and update open item & task tracking documents accordingly.
  • Monitor client meetings and/or read meeting minutes to track approvals and log any new or changing requirements.
  • Maintain lists of work completed per project on a weekly and monthly basis, to be referenced for client updates and invoicing.

Seeking a person who:

  • Is organized, structured and both big-picture-savvy and detail-oriented
  • Has experience in or exposure to architecture, interior design, construction management or a releated field, or an interest in learning about these fields.
  • Has a professional demeanor and is extremely discreet
  • Is capable of multi-tasking
  • Is proactive and who also completes tasks with a sense of urgency
  • Has excellent interpersonal skills and written communication skills
  • Has excellent computer skills, including proficiency in the following software/programs: Microsoft Office Suite, Google Sheets/Docs.  Experience in Microsoft Project or other project management software helpful but not mandatory.  Experience with Trello, Monday, Teams Tasks, or other task tracking platform helpful but not mandatory.

Salary: $70 - 80K
