PROGRAM MANAGER

Summary of Position

The Hospitality Program Manager contributes to NICOLEHOLLIS’ success by coordinating all project administration within the Hospitality Studio including managing the scheduling and staffing of 30 designers for up to 15 projects. The Program Manager will be expected to work with the CEO and Design Firm Principal, Purchasing and Finance, Hospitality Design Directors and Senior Designers to manage all projects’ administration and delivery-related accountability.

DEPARTMENT: Hospitality Studio

PRINCIPAL ACCOUNTABILITIES/ESSENTIAL FUNCTIONS:

  • Work with the CEO and Hospitality Directors on projection analysis for all Hospitality projects
  • Work with Directors and Senior Designers to regularly update all projects in Deltek Vantagepoint for staffing projections and update CEO with projection status including Profit/ Loss.
  • Meet with Hospitality Design Directors and Senior Designers regularly on staffing utilization within the department for upcoming project deliverables, continually update changes and administer staffing needs. Ensure all designers are assigned to projects appropriately and find creative solutions to staffing challenges.
  • Administer and organize all project contract documentation, working with Studio Directors and Residential Program Manager on all relevant file folder systems.
  • Review all project billings with Controller, Hospitality Design Directors and Senior Designers to assist in identifying edits and finalizing bi-monthly invoices.
  • Work with the CEO and Legal Counsel to prepare and finalize proposals, contracts, additional service requests and scope of work documents
  • Work with Executive Assistant and Residential Program Manager to organize and maintain internal project calendar and communicate to Directors and Design team any scheduling conflicts and/or opportunities.
  • Oversee recruitment activities for department including identifying staffing needs, working with recruiters, updating job descriptions, review of incoming resumes and portfolios, scheduling interviews and coordinating onboarding activities for new hires.
  • Facilitate team project reviews after project phases. Review team questions and lead discussions
  • Work with Residential Program Manager to research and recommend new project management solutions
  • Help drive a collaborative and enjoyable environment and help coordinate social activities and studio functions. We work hard but we like to have fun!

QUALIFICATIONS AND COMPETENCIES:

Minimum Qualifications

  • Minimum 5 years interior design, architecture and/or construction management experience including scheduling multiple projects and designers
  • Excellent in-person presentation skills
  • Excellent communication skills
  • Excellent organizational and timekeeping skills
  • Ability to create and manage Excel spreadsheets and custom database solutions
  • Experience creating proposals using InDesign
  • Experience using Deltek Vantagepoint or similar project management software
  • Bachelor’s degree in relevant field or commensurate experience
  • Experience using Asana and Bluebeam preferred
