Full or Part-time Time Office Manager

AB Architekten is a design-focused, full-service architecture firm located in Lower Manhattan. Our work includes multi-family housing, private residences, interior design, and gut renovations. We are seeking a smart, energetic, confident, and highly motivated Office Manager to join our staff. This position can be part-time (three full days a week or five half-days per week, depending on the workload or as negotiated).

Candidate should possess the following:

  • Prior office management experience, but not required for right candidate
  • College education, but candidate may also be a student
  • Strong communication and writing skills
  • Strong organizational skills and attention to detail
  • Strong computer skills, including Microsoft Office, Adobe Photoshop, Illustrator, InDesign proficiency a plus
  • Working knowledge of QuickBooks a plus
  • Graphic design skill is a plus, but not required
  • The ability to work independently
  • Fluency in English

Candidate’s responsibilities will include:

  • General office administration and organization
  • Receptionist duties
  • Scheduling meetings, maintaining office calendars
  • Administrative assistance to the Principal
  • Management and maintenance of office literature and material libraries
  • Maintaining office databases including: contact lists, time sheets, project tracking, office supply lists, account passwords
  • Ordering and obtaining materials/product samples and associated literature for design staff
  • Ordering general office supplies
  • Running errands
  • Ordering messengers for various deliveries/pick-ups
  • Managing office IT 
  • Creating and maintaining office marketing and presentation materials
  • Assisting with office publication efforts
  • Updating office website and maintaining office presence on design websites and social media
  • Client billing, vendor and consultant payments, interfacing with office accountant
