As Office Manager at DXA studio, you’ll have an opportunity to work side-by-side with the Partners to shape the rapid growth of its 30-person studio in NYC.  

About You:

  • You have 3+ years experience in a service-oriented role.
  • You’re a proven self-starter, you thrive on juggling multiple responsibilities.
  • You’re eager to learn and contribute to all aspects of running a creative studio.
  • You’re interested in architecture and interior design.

In this critical role, you’ll ensure all aspects of studio operations run seamlessly and support the Partners with overall management of the firm.

Responsibilities:

  • General reception duties: welcoming guests, answering main office phone / managing phone system, shipping / receiving. 
  • Ensure the 4,000 SF studio is presentable and client-ready at all times.
  • Assist with client meetings including conference room set-up, catering and clean-up.
  • Maintain pantry and office supplies.
  • Manage HR functions including visa applications, onboarding, vacation requests and attendance tracking, health insurance and benefits, maintain Employee Manual, ongoing review of HR policies and procedures with Partners.
  • Spearhead studio events from inception through execution.  
  • Support marketing initiatives including graphic design layouts under the direction of senior staff.
  • Maintain critical contact lists, files and records.
  • Act as Partners’ right hands: assist with scheduling, errands and miscellaneous tasks; draft meeting minutes / emails / letters for Partners and senior staff when requested.
  • Be the “go-to” person for the team; assist with issues resolution and escalate as appropriate.

 

Qualifications:

  • Bachelor’s degree with a minimum of 3 years Full-Time experience.
  • Proven ability to work in a fast-paced and unpredictable environment in a calm and professional manner.
  • Superior organizational skills.
  • Proficient verbal and written skills.
  • Proficient in Microsoft Word and Excel; Adobe Creative Suite, a plus.
  • Valid US working permit required.

This is a full-time position. Compensation commensurate with experience.
