General Summary
This position provides administrative support to the Director of Development of Basic Sciences. The Administrative Assistant will handle communications with faculty, donors, prospects, and development personnel; assist the director in managing operations of a multi-faceted fund-raising office; maintain prospect information in ALADIN; provide interface with other hospital, university, and school of medicine offices on behalf of the Director.
Specific Duties
Responsibilities include assisting with management and narrative and statistical reports; exchanging pertinent and non-routine information with academic leaders, senior development officers, administrators and individuals outside the Johns Hopkins Institutions; and providing a full range of clerical and administrative support.
ADMINISTRATIVE
Effectively communicated with academic leaders, important donors, alumni, patients, guests, faculty, department Chairmen and administrators over the telephone and via email.
Handled and screened all incoming telephone calls, mail, faxes, electronic and voice mail in an efficient and organized manner.
Provide conflict-free calendar of meetings and appointments of the Director including those held both inside and outside the institution.
Use Microsoft Word for management and production of heavy incoming and outgoing paper flow – including personalizing thank you letters to be signed by the Sr. Associate Director. Use EXCEL and ACCESS to create lists and reports.
Made travel arrangements to ensure the most efficient use of the Sr. Associate Director’s time
DEVELOPMENT/FUND RAISING
Have an expert knowledge of Aladin and Prosper, as well as a thorough understanding of central clearance and development research protocols.
Produce a variety of reports using Aladin and Prosper, and EXCEL or ACCESS.
Assisted with the planning and implementation of special events including developing and maintaining invitation lists, coordinating mailings, managing replies, staffing events, selecting suitable event space both on and off campus, and interfacing with vendors including caterers, photographers, florists and printers.
