We are currently seeking a driven office manager and culture ambassador to enhance our team cohesion and ensure a seamless physical and virtual office experience. You’ll be the go-to person for anything office culture-related, helping ensure our Los Angeles office runs smoothly. The ideal candidate has a passion for supporting others and cares deeply about fostering an inclusive work environment that allows all employees to bring their best selves to work. Responsibilities include: 

Employee Relations

  • In consultation with professional HR Representatives, handle general employee relations and performance management questions or issues to help ensure a healthy work environment.
  • Assist staff in accessing benefits and navigating benefits system.
  • Oversee/drive annual performance and development plan review process.
  • Work to ensure our culture is inclusive. Ensure all personnel activities are conducted to assure equal access.
  • Onboard new employees to the Kilograph culture (ensuring a seamless cultural onboarding experience)
  • Support other people programs such as communications, learning & development, and employee recognition

General HR Function

  • Maintain employee records, run reports and process personnel actions.
  • Oversee local wellness activities (flu shots, health fairs, health club discount programs, etc.).
  • Understand benefit plan provisions, assist with employees’ benefit-related questions of moderate complexity, and refers complex questions to Corporate.
  • General office and HR administrative oversight with assistance from experience HR team
  • Coordination and distribution and review of annual employee handbook, ensuring compliance and reflecting most current guidelines.

Office Administration

  • Coordinate with property management and third-party vendors to address facilities issues (cleaning schedule, repairs, renovations, and other various tasks). 
  • Greet visitors, answer phones and route calls, distribute messages
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Own the office and team calendars, including employee anniversaries, birthdays, vacations and management of absences
  • Arrange meetings and manage schedule for senior staff as required
  • Assist accounting with payroll runs, marking bills and deposits as required
  • Arranging travel and event coordination for office-wide functions and work related travel

Skills & Qualifications

  • Minimum three years of HR/general office/administrative type experience.
  • Facilities management is a plus
  • Discretion and the ability to deal with confidential and sensitive information
  • Strong organizational, analytical and problem-solving skills
  • Ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • High proficiency with MS Office including Outlook, Word and Excel
  • Excellent verbal and written communication and strong client service ability
  • Strong interpersonal skills and ability to build relationships
  • Self-motivated, well-organized and detail-oriented

Preferred Qualifications

  • Bachelor's degree 
  • A/E or construction industry experience or creative production studio environment a plus
  • Experience accessing and understanding SHRM database
