Administrative Assistant:

Under the supervision of the Director of Operations and the Principals, the Administrative Assistant will have their hands in a broad range of administrative, marketing, HR, financial, and project-based tasks. This role requires high levels of organization, strong time management skills, and experience carrying out a variety of tasks with various moving parts. The successful candidate will be a friendly self-starter with excellent communication, interpersonal and customer services skills. This role is suited for a person who has a desire to learn and is comfortable working a fast-paced environment both independently and as part of a team. They should be comfortable rolling up their sleeves to pitch in and ensure the company’s smooth functioning.

Qualifications:

  • 1-3 years office administration or relevant experience
  • Excellent written and verbal communication skills
  • Capable of learning new tasks quickly, prioritizing deliverables, and problem solve when needed
  • Proficient in G Suite, Adobe Suite, MAC based computer systems; Studio Designer and AutoCAD are a plus 
  • Driver’s license to manage tasks as needed. Personal transportation is a plus
  • Familiarity with design and construction field is not required but willingness to learn and understand design jargon as well as Siol’s aesthetic language will be paramount

Responsibilities: 

  • Serve as the first point of contact for all office inquiries via email, phone, and in-person
  • Manage day-to-day office operations including calendars, shipments/deliveries, office supplies, general organization, computer/system functioning, contacts, databases, sample library database, and office maintenance
  • HR tasks such as on-boarding, bi-monthly payroll data collection, maintenance of employee files, job postings, & policy
  • Assist with generating and implementing office organizational procedures
  • Marketing efforts as needed including, but not limited to, company parties, special events, photo/video shoots, website development, brochures, and social media
  • Design project assistance via purchasing coordination, sample requests, shipment of sample boxes to clients homes, carry out product returns locally, job-site tasks, and installation efforts
  • Preparation of monthly invoice drafts for review by DOO and Principals. Perform edits as directed with potential to grow into the main invoicing contact

Must be eligible to work in the US without visa sponsorship
