Institute for Sustainable Design Administrative Associate

Hours: Part Time (24-32 hours per week to be determined)

Description: Position Overview:

The Administrative Associate will report to and work closely with the Director in daily operations of the Institute for Sustainable Design (ISD). The ISD is an independent, grant-funded department affiliated with Irwin S. Chanin School of Architecture.           


  • General Office Management
    • Prepare, draft and submit written meeting agendas and meeting minutes
    • Respond to general inquiries via phone, email, post
    • Maintain file server and organization of documents for digital and physical storage
    • Manage department calendar, schedule room reservations for meetings, events,
    • Draft solicitation letters and tax acknowledgment letters
  • Accounting
    • Process and maintain records of accounts payable, receivable, petty cash, payroll
    • Prepare periodic department budget and expense reports
    • Prepare project budget and expense reports
  • Public Programming
    • Work closely with the necessary college departments in event planning. Event types range from lectures and discussion groups to reception and dinners
    • Prepare event scheduling documents and budgets
    • Oversee production of print materials and supporting signage with the Cooper Union design center
    • Provide on-site management, including set-up and breakdown with event subcontractors, suppliers, vendors and volunteers
    • Management of event outreach through the ISD Facebook page and email
    • Interface with associated organizations that partner with the ISD
  • Other administrative duties and as directed


  • Detail-oriented, able to multitask, self starter, and ability to meet deadlines
  • Strong organization, analytical, administrative skills 
  • Ability to work independently as well as collaboratively within a team environment. 
  • Excellent written and verbal communication, interpersonal and follow-up skills


  • BA degree minimum
  • Administrative experience essential
  • Event planning experience a plus
  • Proficiency with MacOSX
  • Proficiency with Microsoft Word, Excel and the web applications
  • Basic knowledge of Adobe Photoshop, Illustrator, InDesign a plus
  • Basic knowledge of issues related to sustainability in architecture, planning, and design a plus
  • Interest and knowledge of issues of sustainability and environment
