Full Time - Receptionist / Executive Assistant (Murray Hill)

Small architectural award-winning firm is looking to fill a Full-time position of 40 hours a week. Fairfax & Sammons Architects specializes in high-end traditional residential design; the right candidate will work directly with our Managing Director, Executive Team and staff. The ideal candidate will be a self-starter with strong organizational skills who understands a corporate administrative environment and has previous experience working in the design and construction industry.

Responsibilities will include but are not limited to:

  • Punctuality and reliability are essential.
  • Greet guests upon arrival. Courteous and professional demeanor.
  • Strong work ethic and comfort level working in a high-volume environment.
  • Demonstrate ability to coordinate multiple projects concurrently, including providing necessary project status follow-up as directed.
  • Familiarity with phone systems and office technology. Excellent written and verbal communication skills. Strong MS Office skills (Word, Excel, and PowerPoint). Proficiency in Google Suite (Sheets, Docs, Email, Calendar) and Microsoft Office and Adobe Suite/Cloud.
  • Occasionally assist with graphic presentations and business development initiatives as directed by the Executive Team.
  • Exceptional time management abilities, including managing multiple calendars.
  • Open mail, distribute to appropriate parties.
  • Maintain the firm's reception, keeping front entry and common areas clean and tidy, kitchen, library, supply, and print room.
  • Keep office supplies well stocked.
  • Should be able to roll up sleeves and help organize and clean storage areas. Liaise with the property manager and coordinate facility maintenance services. Organize recycling and trash.
  • Organize and maintain the Library books and flat-file drawings.
  • General assistance is provided to architects and bookkeepers/HR as needed. Ability to manage schedules and prioritize tasks. Coordinate and schedule pick-ups, deliveries, and appointments.
  • Run occasional errands, post office, etc.
  • Ability to work independently while fostering a collaborative environment and functioning within our team structure.

Hours are 8:30am-5:30pm with occasional OT.
