NY - Studio Coordinator: Planning & Contracts
Are you an architect or engineer who enjoys focusing on business operations? Are you a people person? Are you digitally savvy and curious? This role will work closely with our A/E Project Managers on resource planning, project schedules, and performance.
RESPONSIBILITIES
- Provide daily support to architect / engineer PMs through regular communication and analysis.
- Interpret and understand the needs of individual projects.
- Communicate effectively with all levels of internal stakeholders.
- Build relationships and trust.
- Update schedules and staffing allocation for active projects, across all office locations.
- Anticipate when a project team will require additional resources and when a new project is likely to start. Forecast cross-project overlaps (“synergies”) and conflicting demands (“perfect storms”) to keep PMs aware of workflows on other projects impacting their teams.
- Work through complexities and present findings clearly.
- Run bi-weekly staffing meetings to present information simultaneously to all Principals.
- Review new client contracts with insurance and legal counsel.
- Support contract negotiation and execution.
- Coordinate with project teams on evaluation and development of requests for additional services.
- Maintain flexibility and interest in collaboration.
- Share and encourage best practices developed by individual teams so that all teams can benefit from management and workflow innovations.
QUALIFICATIONS & SKILLS
- Positive, approachable, and engaging personality.
- Inquisitive and skilled in presenting findings in visual/graphic format.
- Bachelor’s degree.
- 2+ years of experience in practice management or resource planning at a professional services firm.
- Knowledge of all phases of design and construction.
- A solid understanding of a design & construction project’s workflow.
- Excited by supporting the management of a creative, respected, and growing business.
- Excellent interpersonal communication and writing skills.
- Proficiency in project management software.
- Experience with Ajera integrated accounting is a plus.
- Strong working knowledge of Excel, pivot tables, coding, and other data analysis tools.
- Experience with AIA and other format of contracts.
- Authorization to work in U.S. is required.
- More experienced candidates may consider part-time (4 days/week)
Starting salary range: $75,000 - 95,000
