We are currently seeking a full-time highly motivated and creative professional with a minimum of 2 years' previous administrative experience. In this role you would support the Interior Design (ID) leadership and team to facilitate their work product. You will be working primarily from the corporate office, although you may be required to travel in connection with the performance of your job responsibilities to various vendors and job sites from time to time.

Specific Responsibilities Include:

  • Under the leadership of the Design Director and Senior Project Manager, assist and coordinate administrative tasks such as calendar management, making travel arrangements, managing the Material Library sheet, preparing production schedules, and receiving miscellaneous deliveries for punch list clients locally
  • Track and coordinate team deadlines and deliverables and send reminders as needed
  • Review time sheets and manage staff information in monograph
  • Assist with weekly reports and the Principal status sheets
  • Coordinate with other Studio Coordinators on weekly Interior’s crossover needs with the architecture teams
  • Work with human resources on candidate selection and provide updates to studio leaders
  • Assist with proposals and budget documentation and the monthly billing process
  • Assist with creation of documentation for internal use (quality control, internal reviews, standards, and procedures, etc.)
  • Liaise between the project, admin, marketing, and business development teams
  • Take meeting minutes and distribute to the team
  • Assist with creation of material boards, and coordinate with vendors to order samples; purchase as needed
  • Coordinate and schedule client meetings with the staff
  • Support team initiatives/events
  • Prepare cost comparisons for monthly storage invoices and all quotes
  • Set up and coordinate trade site visits
  • Monitor the ID accounts email for client correspondence
  • Request and/or prepare storage and receiving contracts and WAPD Agreement forms for management review


  • Degree in a Business Management, Communications, or Design related field preferred
  • Minimum 2-3 years' experience as a design administrator or similar role
  • Understanding of a design office environment
  • Familiar with federal, state, and local municipal submission documents is a plus
  • Advanced experience with Microsoft Office Suite and Adobe Suite
  • Exceptional interpersonal communication skills
