General Responsibilities

The Capital Project Administrator provides administrative support and related assistance

on museum building and landscape projects in addition to real estate projects, including residential and commercial buildings, within the purview of the Director of Project Development.

Specific Duties

  1. Support building and landscape projects, including tracking project schedules, processing invoices, and preparing contracts.
  2. Research issues pertaining to the Menil's real property, including, but not limited to, city ordinances and permitting requirements.
  3. Maintain property and project files in coordination with the Menil's Facilities and Archives Departments.
  4. Draft and coordinate requests for qualifications and proposals for professional services from designers, architects, engineers, contractors, and service vendors.
  5. Develop and maintain master files for project design specifications and materials selections.
  6. Responsible for the procurement of fixtures, furnishings, and equipment for projects and museum operations.
  7. Prepare expense reports for the Director of Project Development.
  8. Schedule meetings, record meeting minutes, and assist the Director of Project Development in preparing and distributing meeting materials for the Menil Board of Trustees' Real Estate Development and Neighborhood Committees.
  9. Attend and report on community and civic group meetings, as requested.
  10. Manage and execute projects as assigned by the Director of Project Development.  Provide status as projects move towards completion. 
  11. Act as an administrative backup for other team members as needed.


  1. Associate's degree required; bachelor's degree preferred.
  2. Minimum of four years of relevant professional experience in the architecture, landscape architecture, engineering, or construction industry as a Project Administrator.
  3. Proficiency in Microsoft Office, Project, and AIA Contract Software.
  4. Experience with Adobe Suite and AutoCAD preferred.
  5. Must be able to communicate effectively and interface with all levels of personnel professionally.
  6. Excellent oral and written communication (including proofreading).
  7.    Ability to organize projects.
  8. Ability to work independently, meet deadlines, and coordinate multiple projects simultaneously.
  9. Collaborative and team-oriented.
  10. A strong work ethic; a sense of pride in work product.
  11. Unwavering capacity for discretion and confidentiality.
