As part of an expansionary strategy, PALO is searching for an experienced Office Coordinator. This role will work with the directors of the business on critical operational and administrative processes in the office and take responsibility for the effective and efficient coordination of key functions.

From their San Diego headquarters the office engages local conditions with an ambitious perspective. PALO is presently growing a comprehensive portfolio of residential projects working closely with developers, investors and owners.

About the role
This role is pivotal in developing and managing operational and administrative processes for the following functions: finance, people, legal, IT and premise. The role requires a diligent and fastidious mind who has a passion for detail while working at a quick pace.

  • Finance: client invoicing, expense processing, pipeline updates, reporting
  • People: time off requests, scheduling, recruitment, onboarding, coordinating general inquiries
  • Legal: coordination with external partners
  • IT: coordination with external partners
  • Premise: office supply management, post, coordination with external partners

About you
We are looking for someone who understands and can confidently prioritize administrative and operational needs in a growing business. We are building a modern architecture office that uses more enlightened ways of working.

  • Experience in operational and administrative functions within a service business.
  • Ownership of processes in the office and in doing so reduce complexity.
  • Advanced skills in the Microsoft Office suite of products including Outlook, Teams, Excel, Word, PowerPoint, One Drive
  • Familiarity with the principles of Enterprise Resource Planning (ERP) and accounting software.
  • Enthusiastic to work in a fast pace environment and contribute to growth.
  • Critical and tenacious with a good dose of common sense.
