We are currently seeking an entry-level FRONT DESK OFFICE COORDINATOR to join the team in our BELLEVUE, WA office. This position will report to the Office Manager and provide reception, general office, and administrative support to technical staff. Our ideal candidate is a friendly problem-solver who is eager to learn and gets along with a wide variety of personalities. Candidate must be comfortable in a small office environment, and understand that even the smallest jobs they perform are incredibly valuable when it comes to creating a great workplace, and essential to the smooth running of the office.

ESSENTIAL RESPONSIBILITIES

  • Provide front lobby reception coverage M-F 8:30am – 5:00pm
  • Greet staff, clients, visitors, and vendors in a professional and friendly manner.
  • Answer phones and route or screen calls in a proficient manner
  • Process incoming and outgoing mail daily, including overnight document/packages
  • Maintain professional appearance and safety of office 
  • Manage Outlook calendars
  • Coordinate travel arrangements and event registration
  • Assist with coding expense reports and matching receipts
  • Assist Managing Principal and Project Managers with project documentation and data entry
  • Organize and participate in office meetings, conference calls and events.
  • Keep supplies stocked for employees by tracking inventory and ordering office/kitchen supplies as needed
  • Order, pick up, and set up lunches as needed for client and staff meetings
  • Initial contact for leased property questions and issues, including maintenance and repair work
  • Maintain office records, files, and plans
  • Coordinate with Human Resources Team in Northern California headquarters for all HR matters; including facilitating interviews, orientations, and staff reviews as directed as directed by HR
  • Collaborate with administrative and operational staff firm-wide, participating in meetings and special projects as directed

 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • 1-2 years’ front desk and administrative experience in a professional services environment
  • Professional demeanor, with a friendly and positive attitude
  • Proven punctuality and reliable attendance
  • Proficiency with Microsoft Office (MS Outlook, Word, Excel, PowerPoint)
  • Strong written and verbal communication skills required
  • Experience in operating and maintaining office equipment
  • Strong organizational skills and attention to detail
  • Ability to manage a task from start to finish in a timely manner
  • Must be legally authorized to work for any employer in the United States without any restrictions or visa sponsorship.

 

PHYSICAL REQUIREMENTS:

  • This position requires visual acuity and manual dexterity sufficient to operate standard office equipment
  • The employee must be able to sit or stand at a desk and able to lift and/or move up to 10 pounds.
