Board & Vellum is looking for a talented, self-motivated individual to join our team as our Project Administrator. The ideal candidate is extremely organized, works well with clients and colleagues, and is driven to help grow a creative design firm.

The Project Administrator supports the Studio Directors and Project Leads to succeed in project delivery by participating in developing fee proposals, reviewing contracts, and developing project work plans. Key aspects of this position include managing the invoice process and tracking the status of projects in relation to budget and schedule.

A qualified candidate will be knowledgeable about standard bookkeeping and accounting practices, and can apply this knowledge to project accounting, as well as coordinating work with the firm’s outside accountants. Excellent verbal and written skills are a must along with being self-motivated and able to work independently.

Job responsibilities will include:

  • Supporting the success of Project Leads.
  • Supporting the development of fee proposals.
  • Coordinate with insurance providers to assist with review of contracts for risk management purposes.
  • Transitions fee proposals and contracts into work plans and client invoicing.
  • Manages the client invoicing process, including interfacing with the accounting team and tracking accounts receivable.
  • Assists with writing and documenting Fee Amendments to projects.
  • Managers time tracking and project management software.
  • Tracks project performance against budget and informs Studio and Project Leads of status in relation to schedule and budget.
  • Able to consistently meet deadlines and manage diverse and complex tasks.
  • Proficiency in MS Office Suite, Quickbooks Online, Project Management Software, CRMs. Experience with Airtable and CMAP is a plus.

Your personality and attitude will be more important than your skill set; however, please aim to have the following qualifications:

  • Approximately 5-10 years of experience in related occupation; experience in a professional service firm is a plus.
  • Knowledgeable about standard bookkeeping and accounting practices.
  • Knowledgeable about contracts and invoicing.
  • Able to quickly learn and utilize multiple technologies related to project management and financial management.
  • Self-motivated and able to work independently.
  • Able to support the success of project managers in a positive, empowering manner.
  • Excellent written and verbal communication skills. Is an open an honest communicator.
  • Capable of managing multiple, complex schedules.
  • Able to consistently meet deadlines and manage diverse and complex tasks.
  • Proficiency in MS Office Suite, Quickbooks Online, Project Management Software, CRMs. Experience with Airtable and CMAP is a plus.
