The Opportunity:  Perkins Eastman has an exciting opportunity in our New York office. We are seeking an outstanding HR Coordinator to work closely with others in the department and in the firm, the HR Coordinator will handle employee queries, completing HR documents, processing employee personnel paperwork.

Primary Responsibilities:

  • The Human Resources Coordinator will be required provide HR Administrative support to the department- set up team meets, draft all status change letters for employees including: department transfers, promotions and employee life changes
  • Acting as the first point of contact for all HR personnel queries.
  • This will include new hires, terminations, salary changes, title changes, other pay changes, etc.  This will ensure that the data entered is both accurate and consistent with the processes being developed.
  • Run reports in HRIS / Human Resources Information System/Payroll (Paylocity)
  • Tracking and ordering Swag and Access cards when needed
  • Complete necessary HR notifications to various departments of employee’s transfer/separation details
  • Electronic form requests for files to IT for separated employees upon request Mail to homes upon request
  • Distribution of mail. Document mailing upon request.
  • Monitor Track IT requests and responded to track it requests for new hires transfers and separations.
  • Enter all employee into the system accurately and timely
  • Audit information put in the system on a routine basis to ensure integrity of the data is intact
  • Provide time sheet access and approval rights upon request.
  • Keep Employee files updated, ensuring  terminated employees’ file is closed out effectively
  • Communicate with the HR team to ensure status changes reflect accurately in the system
  • Purge all information for employee separation, as per state and local laws.
  • Responsible to locating terminated files for Audits.
  • Organize and manage the Morale Boosters; childbirth acknowledgement, marriages, and sympathy gifts.
  • Assist with team projects and initiatives as needed.

Required Qualifications:

  • 2+ years of work experience as an HR Coordinator, Office Administrator, or relevant position
  • Bachelor’s Degree (preferred) combination of education and experience.
  • Experience with Paylocity or other payroll / HRIS systems (Required)
  • High proficiency with Microsoft Excel, Word, PowerPoint and Outlook
  • Drive and self-motivation is essential.
  • Must be able to work as part of a team, while taking ownership of the HRIS system.
  • Experience with HR software platforms
  • Ability to learn new technology quickly
  • High attention to detail and accuracy
  • Highly ethical and accustomed to managing highly confidential information
  • Outstanding written communication skills
