As Proposal Specialist, you will provide critical support to our NYC operations team through a wide variety of tasks with a specific focus on fee/resource cost generation and proposal documents on new and ongoing design projects. You will report directly to the Head of Project Operations, and you will have the opportunity to interface with nearly every project over time! This is a new position here at BIG, so this will be a unique opportunity for you to be part of a young, fast paced, global organization in a role that is expected to continue to evolve.

Primary areas of responsibility

  • Develop project resourcing budgets and preliminary work plans in close collaboration with other in-house experts.
  • Manage the planning and collection of materials required for outgoing proposals, incl. proposals requiring coordination with external collaborators
  • Liaise with Business Development, Project teams and the Operations team to diagnose requirements for specific RFPs, bids, new work proposals and requests for additional works
  • Identify project specific risks and opportunities
  • Be the guarantor that all outgoing bids represent the best in class in the industry in terms of completeness, appropriateness and that it demonstrates the best added value options to the client
  • Build and maintain an overview of internal and industry benchmarks based on project type, location, size, etc.
  • Has a minimum of 3 years of experience in a similar role within the architecture, real estate development, engineering, creative or professional service industry
  • Draft and proposals, staffing plans, schedules and other various project set up related tasks

  • Can demonstrate an enthusiasm for innovation and creative problem solving
  • Has strong organizational and administrative, proofreading and document production skills; adept in MS Word, Excel, and Adobe Acrobat
  • Has effective time management skills and ability to follow-up in a timely manner
  • Demonstrates clear and concise written and verbal communication
  • Has the ability to work independently and collaborate in a team environment simultaneously
  • Is proactive and completes tasks with a sense of urgency, capable of multi-tasking responsibilities that often vary in scale, scope and urgency
  • Has tenacity and persistence, is confident making decisions quickly in fast-paced and rapidly changing environments
  • Feels that no administrative task is too little or too great
