DBI Projects is a growing multidisciplinary firm of thirty that specializes in Project Management, Owner’s Representation, Development Management, Real Estate Advisory, and Surety Consulting services. Since 2002, we have partnered with a diverse list of non-profit, private, and public clients to execute ambitious capital projects and real estate transactions. Our projects span from leading arts and culture organizations to schools to student housing and more. We are seeking to immediately bring on a new Project Administrator to take on a dynamic role providing administrative support to a team of project managers. This entry-level position is crucial to the day-to-day operations of the company and will expose the candidate to all aspects of internal operations. The Project Administrator will be responsible for coordinating multiple tasks throughout the day, prioritizing and multi-tasking often. Ideally, this is a position for an individual who is personable, who learns quickly, and who is adaptable and enthusiastic. This role is expected to grow and evolve as the Project Administrator is able to demonstrate an overall ability to contribute to company operations, and therefore DBI values an individual who will show initiative and self-motivation.

Responsibilities:

Reporting to Senior Management, the Project Administrator’s primary responsibilities are:

  • Assuming responsibility as office-wide point person
  • Providing general support to visitors and guests
  • Screening and routing phone calls
  • Coordinating domestic and international travel for senior management
  • Assisting Senior Leadership in the execution of various aspects of business operations
  • Coordinating events and other in-house activities, as well as company outings
  • Assisting Accounts Payable and Accounts Receivable departments in tracking invoices and payments
  • Preparing and coordinating orders and deliveries for project teams
  • Coordinating the signing and filing of paperwork
  • Scheduling teams in conference rooms
  • Sorting and distributing office mail, handling shipments both domestically and internationally
  • Required Experience:

    Prospective applicants should have 1-3 years of office experience and superb document processing skills (MS Word, Outlook, Powerpoint, Excel, Bluebeam). Familiarity with Adobe InDesign is a plus.

    The successful candidate will be extremely organized, efficient, and self-motivated, possessing strong written and verbal communication skills, and have experience handling confidential and sensitive information. Excellent time management and the ability to multi-task and prioritize work are a must.
