Executive Assistant / Marketing Coordinator

New Haven, CT

 

Reed Hilderbrand, an award-winning landscape architecture practice, seeks a highly organized creative professional to join our New Haven studio in a dual role of Executive Assistant & Marketing Coordinator. Reed Hilderbrand possesses a body of work ranging from high-profile cultural institutions to commercial developments, from higher education campuses to private residences. This role will report to the principal and senior associate leading the New Haven studio as well as the firm’s marketing director based in Cambridge, Massachusetts. The Assistant/Coordinator will facilitate daily business needs for the New Haven studio’s leadership, with special emphasis on marketing and business development opportunities. 

   

RESPONSIBILITIES

  • Under the supervision of the New Haven Studio Principal - this position is responsible for the following:
  • Work proactively and anticipate problems and requirements for executive and office team
  • Maintain highly detailed Outlook calendar and manage travel for studio Principal
  • Organize, scan, and file documents
  • Assist the HR & Office Manager with general office management, IT support, and other administrative projects 



  • Sort, review, and distribute mail on a daily basis. Prepare outgoing mail and Fed Ex packages
  • Communicate with firm management, especially with accounting, in Cambridge office
  • Maintain appearance of office and kitchen area
  • Welcome visitors and direct them appropriately
  • Maintain a professional and positive attitude and have a willingness to be flexible and adaptive
  • Remain discrete and focused in a busy environment

 

Under the supervision of the Marketing Director, this position is responsible for:

  • Production and content development for RFQ/RFP/EOI and related submissions
  • Coordination of project data, design team credits, references
  • Coordination of network information (e.g., clients, collaborators, consultants)
  • Preparation for NH studio new project interviews, new business meetings

Position affords professional growth, including opportunities to represent the practice at local events, lectures, and conferences. Responsibilities associated with this role require diligent scheduling and high level of comfort interacting with clients and collaborators. The successful candidate will potentially grow to be a leader in the studio for written and visual communication.  

 

QUALIFICATIONS

The Assistant/Coordinator must engage deeply with a growing, fast-paced design practice. Qualified candidates will have the desire and ability to collaborate across the entire studio. He/she must also interact with many different kinds of outside professionals, from architects and engineers to business developers and academics. AEC industry marketing experience is highly desirable, but fluency in the issues and ideas driving our industry equally important. B.A. degree (ideally in design, communications, marketing, journalism, studio art) and 2-3 years of prior work experience. 

 

This position requires strong skills in Adobe Creative Suite plus fluency in Microsoft Office, Google Apps. 

 

The position reports to New Haven Principal with additional report to Marketing Director. Must be willing and able to travel to Cambridge office periodically. Salary is commensurate with professional experience and demonstrated knowledge. Reed Hilderbrand LLC is an equal-opportunity employer.
