The New York City Department of Health and Mental Hygiene (DOHMH,) a recognized leader and innovator in public health and mental hygiene services seeks a dynamic and savvy Assistant Architect to serve as Facilities Space Coordinator within the Bureau of Facilities Planning & Administrative Services Office of Facilities Planning and Space Management. The Facilities Space Coordinator will work closely with the rest of the team in the Office of Facilities Planning & Space Management on space management and utilization initiatives, and will review opportunities to optimize and create new spaces. A strong background in architecture and/or interior design and experience with space planning is preferable.

  • Under supervision, the Facilities Space Coordinator is responsible for the administration of the DOHMH's ARCHIBUS software system. [Currently encompassing space management, move management, and leasing; responsible for organizing, directing, and/or controlling all aspects pertaining to the system data and functions. 
  • Maintain an inventory DOHMH-owned and leased real estate, documenting changes in occupancy and utilization including creating and updating AutoCAD drawings/architectural floor plans, and developing and maintaining a comprehensive database of space inventory in Archibus. 
  • Responsibilities will include coordinating and conducting continuous space surveys to evaluate head count and utilization to ensure the lowest possible number of physical workspace vacancies.
  • In collaboration with the rest of the team, the Facilities Space Coordinator will analyze results to identify spaces with potential to accommodate additional staff through redesign, consolidation, space reallocation, or relinquishment. 
  • Coordinate changes to the system software with Information Technology.
  • Oversee data and graphical updates with the appropriate internal organizations, manage annual updates and focused surveys.
  • Provide specialized analytics and reporting, and train DOHMH users on the system. 
  • Work closely with the rest of the Facilities Planning & Space Management to ensure the strategic space planning system (Archibus) is accurate and up to date, supports organizational requirements. Liaison with users, Information Technology and the system vendor to ensure appropriate support of DOHMH needs.
  • Draft scopes of work and space studies to propose projects directed to realizing office space maximum utilization. 
  • Create and update AutoCAD as-built drawings and furniture layouts. Enter floor plans and occupancy information into DOHMH's database using Archibus.

  • Conduct periodic surveys to ensure the accuracy of the space inventory data and enter updates to AutoCAD and Archibus files. 
  • Prepare reports on building data, organizational data, and occupancy. 
  • Participate in the development of designs, including floor plans and elevations, contract and working drawings, including contract specifications and other technical specifications. 
  • Participate in and may supervise the design, inspection, construction, demolition and/or alteration of premises to insure compliance with contracts, drawings, specifications, codes, resolutions, statutes, rules or regulations and in connection with the issuance of certificates of occupancy or other requisite or pertinent permits. 
  • Review or examines plans for such purposes. 
  • Plan, design, and review the work of consultants and /or subordinates; prepares progress reports, and may represent an agency, department head or top-level architectural officer or employee in relations with City agencies and departments, contractors and their representatives, damage claimants and their representatives, consultants, and the general public. 
  • May review and recommend for approval payments and requisitions submitted by Contractors, which include but not limited to all contractor's bills, invoices, Work Orders, supporting documents etc. 
  • Investigate appeals of contractors on rejection of equipment, materials or workmanship.
  • May participate in the writing of specifications and in the preparation of cost estimates and estimates of quantities.
Minimum Qualification Requirements
  1. A Bachelor or a Master of Architecture degree that is the first professional degree in architecture from an accredited college; or 
  2. A Bachelor of Science degree in architecture that is the first four years of a five-year first professional degree program in architecture from an accredited college and one year of full-time satisfactory experience in architectural work; or 
  3. A valid New York State Registration as an Architect. 

The following are examples of four-year degrees that are NOT acceptable to meet the education requirement: Bachelor of Science in Architectural Technology; Bachelor of Professional Studies in Architecture; Bachelor of Science in Fine Arts issued by the Architectural Department of a college; Bachelor of Science in Art and Design issued by the Architectural Department of a college. 

A Motor Vehicle Driver License valid in the State of New York may be required for certain assignments. If required, this license must be maintained for the duration of the assignment.

Preferred Skills
  • 4 years relevant professional experience in office space design and furniture layouts
  • Proficiency with industry-standard design and drafting software applications such as Autocad, Revit, and Archibus.
  • Advanced AutoCAD skills and knowledge of space management data systems such as ARCHIBUS. 
  • Advanced knowledge of MS Office Suite, particularly Excel, PowerPoint and Project
  • Ability to anticipate possible problems and develop contingency plans in advance;
  • Ability to anticipate the consequences of situation and plan accordingly;
  • Ability to exercise good judgment and to work independently;
  • Ability to cooperate and participate in team efforts.
  • An understanding and interest in urban issues, especially New York City policy and operations
  • Ability to work independently and to work on multiple projects at the same time.
  • Strong organizational skills and attention to detail. 
  • Possess a NYS Driver's License and able to operate a vehicle.
