Selldorf Architects is an international architecture and interior design firm based in Union Square. The firm’s portfolio encompasses a wide range of projects from high-end residential to cultural and commercial projects across all scales from new construction to historic renovation.

The firm is seeking a qualified professional to serve as Administrative Assistant to support the Controller, Managing Partner, and other partners in the areas of Operations, Human Resources, and Finance to ensure day-to-day operations of the firm. The position is within a small collaborative administrative team with some overlapping tasks. The position is a full-time long-term support position.

Responsibilities will include but are not limited to:

  • Assist Controller with human resources, onboarding, expense reports, timesheets, bank reconciliations, assist with payroll, Deltek software training, coordinate benefits activity with 3rd party administrators and payroll company, and other accounting duties as assigned.
  • Coordinate staff reviews
  • Manage calendars and schedule meetings internally and with clients and prospective candidates
  • Assist Managing Partner with clerical and administrative duties
  • Create, manage and maintain internal contract schedules and filing systems
  • Work with Project Managers and Project Architects on staffing schedule and projections
  • Support the Director of Administration by acting as backup for the front desk as needed

The successful candidate will have the following qualifications:

  • Bachelor’s degree preferable
  • Bookkeeping experience necessary, multi-task skills desirable.
  • 4-8 years experience preferred.
  • Prior experience with a design firm is a plus.
  • Deltek experience helpful.
  • Confidentiality essential. Occasional overtime as required.
  • Must have excellent Excel and other Microsoft Office suite skills including Outlook 365.
  • Must have experience in company benefits, healthcare, and office handbook policies.
  • Must be a self-starter with the ability to work independently but reliably and answerably.
  • Must be comfortable working in a fast-paced collaborative environment with high level of professionalism and discretion with partnership, clients and staff
  • Must be highly organized and able to adjust to multiple and changing priorities
  • Must have strong time management and problem-solving skills
  • Ability to communicate clearly and concisely, both orally and in writing
  • Ability to work effectively within a collaborative team environment
  • Ability to complete tasks with accuracy and precision and with strong attention to detail.
