Job Description:

We are looking for a skilled Business Admin & Office Manager to join our growing NYC team. This position is a growth opportunity for a highly organized individual to directly aid in the organization and management of a fast-pace architecture and strategy firm. As an Office Manager you will be tasked with leading office operations, supporting new hire onboarding, organizing and scheduling appointments as well as being one of the first touchpoints for visitors or clients of Schiller Projects. You are a self-starter who can roll up your sleeves and jump in with minimal direction, manage deadlines and successfully juggle ever-changing priorities. Previous experience working in a similar role at a creative field firm or start-up will be considered a plus.

This role will be primarily focused around:

• Act as the office lead for all office requests

• Interacting with clients either on the phone or in person

• Organizing and maintaining a robust and ever-changing calendar

• Help coordinate meetings, activities and other events for our NYC office including regularly scheduled client meetings as well as team outings, reservations, training and onboarding activities

• Serve as a single point of contact for accountant/ bookkeeper including invoicing, tracking expenses and company spending and maintaining clean, up-to-date spreadsheets

• Work closely with IT to ensure all technology is working properly and trouble shoot any issues

• Manage shipping and receiving for any office needs or materials

• Developing and maintaining a cohesive contacts list for business development purposes as well as records of client and business activity

• Preparing documents and look books (print, copied or bound)

• Act as the point of contact for internal and external clients

• Additional ad hoc requests as needed

Employee qualities:

• 2+ years of office support experience in a fast-paced environment. Startup experience a plus

• Exceptional organizational skills, strong attention to detail and ability to make sure all tasks are seen through to completion

• Intuitive and able to proactively address needs with minimal direction

• Strong sense of initiative and problem solving

• Exhibits confidentiality and discretion in dealing with sensitive information

• 4-year college degree

• Proficient in Microsoft Office, Google Docs, and Quickbooks
