Studio Mai, an award winning interior design and furniture design studio is currently seeking a Procurement Manager with extensive experience in expediting and managing their procurement needs. The candidate will have a proven record of success in scheduling and managing of the procurement processes for professional interior design hospitality related firms. Experience and knowledge of the Architecture, Interior Design, Furniture and Construction Industry is essential to be considered for this position.

The Successful Candidate will:

  • Have 5+ years procurement experience within an interior design, architecture or hospitality firm doing business nationally and internationally.
  • Be a strategic thinker and decision maker. Understand how to make and maintain many business contacts, including furniture manufacturers, national logistics, freight warehousing companies.
  • Be responsible and accountable.
  • Have a college degree

Primary Responsibilities:

  • Purchases Interior Furnishings packages based upon a pre-established budget that is strictly maintained and is managed by category.
  • Responsible for early pricing for approval by the client for all project product cost and related overhead.
  • Issues RFP’s and negotiates pricing for multiple projects.
  • Creates and manages all PO’s per approved product specifications.
  • Works in tandem with the Accounting department to issue 50%/45%/5% deposit request.
  • Approves project invoice payments and coordinates with Accounting for timely payment to vendors, suppliers, fabricators, freight, warehousing, delivery and FF&E installation companies.
  • Project Expediting Reports: Requests information from manufacturers/vendors warehousing/install companies for product production, scheduling, shipping delivery etc..
  • Responsible for the tracking of all orders shipped to manufacturers & warehouse.
  • Oversight of all insurance certificates from sub-contracted services, Installation, and warehousing.
  • Monitors all purchase orders, trouble shooting any issues that arise.
  • Collaborates with warehouse/ installation company to track and ensure that all products will be received into the warehouse no less than 2 weeks prior to the installation date
  • Manages and sets up the FF&E Project installations. Contacts the project site contact 1 month prior to installation to arrange installation details (arrival time, staging area for crew to unload/ process product, dumpster placement, building receiving hours, etc.)
  • Maintains project overview spreadsheets to review with designers & Director of design weekly.
  • Creates flame certificate documentation to provide to designers prior to install
  • Upon project completion, reconciles invoices to review with Principal
  • Attends weekly project meetings & pre-procurement meetings with Interior Designers & Studio Coordinator

Skills and Qualifications:

  • Analytical: Work with multiple vendors to determine appropriate project budgets and know how to evaluate the many pros and cons of each based on price, quality, speed of delivery and other factors.
  • Decision Making: Know how to use the information gathered by the team to make decisions on behalf of the company.
  • Accounting: Documents all pricing and purchasing for coordination with accounting.
  • Negotiating Experience: Work with suppliers to create the best deals.
  • Scheduling Ability: Coordinate deliveries. Oversee the preparation of purchase orders and requisition requests.
  • Collaboration with Industry Partners: Ensure clarity of the specifications and expectations of the company.
  • Records Management: Maintain records of goods ordered and received.
  • Client Relationships, Customer Service, Self-Confidence, Pro-Active Schedule Driven, meeting Customer Needs, Market Knowledge, High Energy Level, Professionalism.
