Administrative Assistant

Bestor Architecture seeks an Administrative Assistant to provide general office administration services for a busy architectural office. This person will help maintain an orderly office environment, assist the Principal, and oversee group activities and office events. This is an excellent position for an energetic person, who wants to contribute to a growing, fast-paced design office.  

WHAT YOU’LL DO (aka Duties and Responsibilities)

  • Oversee general office maintenance including maintenance of office equipment
  • Greet guests, receive office deliveries, and prepare for meetings
  • Answer phone calls, run errands, and sort incoming and outgoing mail
  • Oversee coordination of office events including weekly catered office lunches
  • Communicate with vendor representatives to plan Lunch and Learn events and update sample library
  • Assist staff with general clerical tasks (e.g., photocopying, scanning, faxing, mailing, filing, travel and meeting scheduling/coordination, etc.) 
  • Assist Principal with personal needs as necessary
  • Keep company records filed, organized, and easy accessible 
  • Assist Marketing by tracking and documenting all press on the studio, including filing and organizing materials
  • Produce and attend project photo shoots as needed 

WHAT YOU’LL BRING/WHO YOU ARE (aka Qualifications) 

  • Bachelor’s degree preferred, but not required
  • Minimum of 1 year of administrative experience in a fast-paced office, preferably a design firm
  • Strong organizational skills
  • Proficient in the MS suite of tools: Excel, Word, PowerPoint
  • Friendly with excellent verbal and written communication skills
  • Able to take direction and initiative with minimal supervision
  • Demonstrated ability to work both independently and collaboratively 
  • Motivated and cooperative problem solver with a strong work ethic 
  • Authorization to work in the U.S.


  • Part time position, 20 hours a week, paid hourly
  • Some night and weekend hours may be required
  • A reliable vehicle and valid driver’s license is required 
  • Reports to: Office Manager
  • Manages others: No
