We are seeking a creative, diligent, and motivated Project Coordinator who specializes in Construction Administration. This is a project support role with room for growth. A successful candidate will be a self-starter who takes pride and ownership of their work and is willing to take the initiative to learn and grow. A candidate with a strong project background, specific to the Architectural or Construction industry is STRONGLY preferred.

Responsibilities:

  • Provide support to Project Managers with construction administration to ensure submittals, RFIs, PRs, ASIs and Change Orders, record and document properly and distribute to project team members for review

  • Assist Project Managers with RFP, contracts, proposal fees, market research, accounting, and prepare project schedules

  • Process and review project submittals and RFIs as appropriate (log, route for review, stamp, return to general contractor, etc.)

  • Provide coordination input to engineers and consultants and review their work

  • Maintain project tracking database and uploading project documentation

  • Assist with Permit Submittals to the Jurisdiction and any other revisions as necessary

  • Provide research support to Managing Principals and Project Managers

  • Coordinate with consultants and Owner to ensure timely receipt of items

  • Track, prioritize and manage project related issues

  • Manage architectural documents, drawings, transmittals, and project correspondence

  • Manage Project Meeting Minutes

  • Project filing & archiving (both electronic and hard copies)

  • Maintaining project files, per firm standards

Skills and Experience

  • A minimum of FIVE years project administrative experience is required; strongly prefer experience working in the architectural, construction or design industry

  • Project /team support experience is required

  • Demonstrated proficiency with Microsoft Office Suite, Project, and Adobe Acrobat Professional

  • Experience using Adobe InDesign, Bluebeam, Newforma, and Deltek/Vision preferred

  • Must be able to work independently, particularly during deadlines and be proactive to ensure all project needs are met

  • Excellent written and verbal communication skills

  • Strong organizational and documentation skills

  • Excellent scheduling skills

  • Proficiency in juggling multiple project deadlines is required

  • Interest in architecture and design is required
