The Operations Analyst will be the financial liaison between the Hospitality Interior Design Studios and corporate accounting, and is responsible for the effective management of the practice area’s purchases, receipts, payments and the asset register. The Operations Analyst is expected to develop a strong, proactive relationship with Studio Leaders, Principals and Project Managers to reach financial goals on projects. This position is responsible for working with other remote offices.

The qualified candidate should be a self-starter and autonomous, with good judgment and independent decision making abilities, able to take charge and enforce accounting policies and procedures. He/She should be organized, flexible and able to successfully manage and prioritize multiple simultaneous projects/tasks. A qualified candidate will be able to exercise sound business judgment, manage projects independently and maintain close communication with senior management. He/She should possess excellent communication (verbal and written) to confidently analyze, explain and present financial data to high level executives. The ideal candidate should be able to deal with a variety of personalities, and be comfortable in speaking with groups of people at all firm levels.

Job Responsibilities:

  • Work closely with vendors, operations and various internal team members to maintain Purchasing, while accommodating the Generally Accepted Accounting Principles. Modify accounting to confirm with standards.
  • Prepare documentation for purchasing procedures that utilizes the advice of our external CPA firm.
  • Maintain and provide Ad hoc reporting related to purchasing using Studio Webware.
  • Determine what connectivity between Studio Webware and Deltek Vision should exist.
  • Prepare reports from Studio Webware for our annual audit of purchasing accounts and as needed.
  • Advanced reporting and analysis, which includes but not limited to the following: Detailed project reporting, budget/analytical reporting, historical reporting, projected revenue reporting, financial overview analysis, aggregating and advanced searches in Vision or Pivot Tables.
  • Research technical accounting issues for compliance with the outside accountant, and help strengthen controls.
  • Prepare and process external client invoices on a timely manner.
  • Lead financial meetings with studio executives with prepared insights, materials and contents.
  • Optimize project profitability by informing project manager of planned outcomes.
  • Report to corporate on monthly revenue results, and provide action items that would help performance.
  • Oversee collections for key clients.
  • Maintain and develop strong relationships with business liaisons at client offices.
  • Oversee the practice area’s financial operations in order to achieve the Interior Design studio’s goals and objectives.
  • Strategize with Practice Area Leader and convey financial results across platform.
  • Host meetings from time to time to discuss financial topics and results.
  • Liaise with marketing to provide updated rates and assist with proposal preparation.
  • Performs other special duties as assigned.


  • At least 5 years of professional experience in an accounting/finance department
  • Architectural, Engineering or related Professional Service firm experience preferred
  • Bachelor’s degree in Business or related field
  • Knowledge of Deltek or similar ERP system, and Studio Webware or similar Accounting & Project Management software preferred
  • Highly proficient in Data analytics, MS Access, V-lookups, Pivot tables, Excel PowerPoint and in use of analytical computer programs.
  • Demonstrated independent financial leadership with the ability to work independently, multi-task and manage multiple priorities in a changing environment
  • Must be results oriented, customer focused and have demonstrated ability to multi-task in a fast-paced environment.
  • Ability to work well on cross-functional teams in a matrix environment across all locations
  • Requires superior written and oral communication skills and excellent interpersonal, problem solving, and partnership development skills and ability to work in a team environment
  • Adept at conveying complex financial concepts and analyses to all levels of management and staff and have superior quantitative, communication and presentation skills.
  • Build reports and summaries for management and operational partners that identify key trends at the asset and market-level: utilize data from ERP systems, industry third-parties, and independent research
