Matthew Baird Architects is an innovative architecture firm with a wide range of projects including residential, commercial and institutional. We are currently seeking a Studio Coordinator. The ideal candidate is someone versatile who can assist with administrative duties, scheduling, calendaring, travel-planning, expenses, errands, conference planning and various projects as they come up.


Essential functions may include, but are not limited to, the following:

Administrative duties:

  • Develop best practices with office workflow and company policies and procedures
  • Provide support to management (i.e. drafting letters, scheduling appointments, emailing, scanning, faxing, copying, etc.)
  • Provide support to the Accounting department
  • Maintain inventory and ordering of office and pantry supplies on an ongoing basis
  • Execute assigned mailing requests as needed.
  • Assist in office setup, meeting preparation, scheduling of conferences
  • Coordinate catering and logistic for meetings and company events
  • Organize and maintain library and Sample Room

Receptionist duties:

  • Handle incoming calls and messages
  • Greet clients and guests
  • Refer callers and visitors to the appropriate individuals
  • Route all company incoming and outgoing mail and packages to staff


  • Minimum 1-2 years of reception or administrative experience including an Associates or Bachelors Degree
  • Excellent oral and written communication skills (very important)
  • Ability to deal with clients and has superb business etiquette
  • Experience in writing professional letters, creating appointments and professional email correspondence
  • Thorough knowledge of Microsoft Word and Excel
  • Strong organization skills
  • Marketing experience and knowledge of Adobe Suite (InDesign, Illustrator, etc.) is a plus
  • Strong customer-service focus
  • Ability to multi-task and prioritize in fast-placed environment
  • Ability to build relationships with all people in the organization
  • Excellent self-starter and independent worker
  • Friendly and charming personality
