Senior Administrative Coordinator, Office of the Dean

This position exists with the Harvard University Graduate School of Design, in the Office of the Dean. Job duties are as follows:

  • Manages the Dean’s correspondence, including acting as an email proxy for the Dean, drafting and sending confidential material on his behalf, and ensuring that correspondence is shared with appropriate GSD offices (Development and Alumni Relations, Administrative departments, Executive Dean, Communications, Public Events, etc.) and action items are pursued and addressed in a timely manner;
  • Administers, writes, and edits a range of communications for the Dean, the Director of External Administration, and Director of Internal Administration including but not limited to: correspondence, talking points, invitations, and memos for both internal and external audiences;
  • Assists Director of External Administration in researching and arranging complex travel itineraries and travel-related reservations for the Dean;
  • Coordinates recurring meetings and special events run through the Office of the Dean (full faculty meetings, Executive Committee meetings, ad-hoc receptions, etc.), including making room reservations, coordinating vendor contracts, managing invitations and guest lists, and staffing events as necessary;
  • In collaboration with the Director of External Administration, coordinates the Dean’s fundraising activities related to the building campaign;
  • Assists the Office of the Dean with projects as needed; performs other related duties as required.


  • B.S. or B.A. required;
  • Minimum of five years of related experience;
  • Demonstrated ability to write quickly, clearly, persuasively, and accurately on a range of subjects related to an institution of higher education in a deadline-sensitive environment;
  • Demonstrated aptitude for understanding complex issues and the ability to translate and simplify them for key audiences;
  • Experience managing events and coordinating international travel plans preferred;
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy;
  • Ability to triage and prioritize a high volume of tasks and communications
  • Must be comfortable working in a fast-paced environment;
  • Ability to maintain confidential information and use discretion when responding to requests;
  • Exceptional attention to detail and an outstanding ability to follow through on tasks;
  • Flexibility and diplomacy necessary
