Operations Coordinator at Roman and Williams reports directly to the Managing Director and Director of Operations, supporting all critical efforts related to internal office operations and project-related tasks. Operations Coordinator reports also to the Principals and Founders across various facets of the organization, and interfaces also with Director of Business Development, Communications Coordinator, and Director of Human Resources. 

Operations Coordinator must be highly organized, proactive, and adept at multi-tasking. The ideal candidate has a background in architecture, or adjacencies otherwise in the fields of design, construction, or development. Attention to detail is a must, and the ability to manage tasks across multiple fronts with speed and efficacy is key. Command of communication is essential: verbal, written, and graphic communication skills. Candidates with an aptitude for and interest in design process and workflow at a fast paced & highly creative studio will be given special consideration, as this position presents an opportunity for growth and further expansion of responsibilities related to projects at Roman and Williams. 


Responsibilities include:

Design Studio & Managing Director Supporting Responsibilities:

  • Bi-Weekly FFE Meeting Agenda
  • Weekly Staff Meeting Agenda 
  • Weekly Team Meeting Support & Administration 
  • Unified Project Calendar & Individual Project Schedules - Management and Production
  • Studio Director & Office Standards Support
  • IT Coordination & Support
  • Facilities Coordination & Support
  • Preparing for both in-house and off-site presentations, coordination with facilities managers, RW project managers

Communications Asset Management

  • Interface with project-related communications initiatives related to Press, Website, and more.

New Business

  • Preparation of project briefs for internal purposes 
  • Administrative support with proposal-writing


  • For both active projects and prospective projects, research may be required to support presentation and design efforts. Research includes gathering of historic documentation, supporting information for RFPs and pitch presentations, and more.


Administrative Support & Other Responsibilities

  • As direct report to the Managing Director and Director of Operations, administrative support of these two positions (alongside their respective responsibilities to the Principals and the Design Team) is required. This includes meeting scheduling & other calendar coordination, meeting minutes, agenda preparation, preparation for travel & for meetings, and the creation of project briefs for both communication and internal purposes.
