Our Studio is searching for an Assistant Project Administrator to support a number of ongoing Architectural Projects in the Construction Administration Phase. This is a Junior Administrative position that will entail working with several large teams within our Studio logging and tracking the flow of documents in support of the construction process.

The Studio will train you for this position as you work alongside our Project Senior Leaders and the Senior Project Administrator. The software that is utilized in this position includes Constructware/CW and Google Sheets/GS. Constructware/CW requires minor training and can be readily used. Google Sheets/GS are similar to Excel Spreadsheets and therefore general working knowledge of Microsoft Office and OS is required. The candidate does not need to be trained within the Architecture profession but rather simply possess general Administrative skills, be a fast learner, pay attention to detail, be very organized and be willing to consistently remain on top of a flow of many project documents.

Daily key tasks this position includes:

  • Tracking of Construction Administration Phase items including Shop Drawings, Requests For Information, Requests For Substitutions and Change Advisories.
  • Logging and Tracking: Log in items, save to server, update log tracker and cross check against Construction Manager’s logs for accuracy.
  • Consulting Team follow up: Ongoing follow-up with our consultant team to review their Submission materials so as to ensure we are all coordinated in our efforts.
  • Payment Requisitions: Assist project leader with logging, tracking and cross-checking of all Payment Requisitions
  • Field Reports: Assist the team by tracking all Field Report items, follow up on open items, and, coordinate these efforts with our consultants.
  • Weekly in-house meetings with design team to remain informed of the workflow and project needs.
  • General Administrative tasks including filing, preparing documents for courier and/or FEDEX, copying and collating documents, phone calls, documenting, word-processing and other general Administrative support tasks.

Qualifications:

  • 2-3 years of administrative experience within a fast-paced office environment.
  • A Bachelor’s Degree in related fields.
  • Experience in an architecture and/or design environment is preferred, but not necessary.
  • Strong organizational and self-management skills; must be articulate, detail-oriented.
  • Excellent written and verbal communication skills; including high-level of proficiency in grammar and spelling.
  • Strong analytical skills. 
  • Ability to multi-task and manage multiple projects under tight deadlines.
  • Strong computer skills, including advanced level proficiency with MS Office software, common web browsers, performing internet research.
