One Lux Studio, a lighting design firm in the architectural/engineering/construction industry, is looking for a creative individual with a positive can-do attitude to join our office as the Office/ Marketing Coordinator.

Responsibilities and Duties

  • Welcomes visitors by greeting them in person.
  • Answers, screens and forwards incoming phone calls
  • Supports Marketing Director in preparation of fee proposals, qualification statements, etc. – this involves research, layout, editing, production.
  • Manages and updates information in marketing databases (Filemaker). Also manages and updates client mailing list.
  • Actively researches and tracks which projects are near completion for photography purposes; Assists Marketing Director in coordinating all project photography with the client, photographer, and project team by identifying projects to document, developing a shot list, providing staging and on-site management, and managing the final edits.
  • Preserves file and image databases for all projects, including creating and editing project pages, descriptions, resumes, bios, etc.
  • Performs website maintenance and on-going upgrades, including cultivating the firm’s social media presence on Twitter, Facebook and LinkedIn.
  • Researches relevant award competitions and maintain award calendar. Execute award submittals in conjunction with Owners.
  • Assists Marketing Director in Marketing/PR projects and Event Planning as necessary.
  • Receives, sorts and distributes daily mail/deliveries.
  • Orders front office supplies and keep inventory of stock.
  • Performs other clerical receptionist duties such as filing, photocopying, transcribing and faxing.

Qualifications and Skills

  • Energized, personable, and creative personality with a positive can-do attitude and professional demeanor
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Strong organizational, written, and verbal communication skills
  • Highly detail-oriented and organized with ability to prioritize and multi-task efficiently
  • Self-motivated and able to work independently
  • Proficiency in Microsoft Office and Adobe Creative Suite
  • Proficiency in Wordpress a plus
