About us:

Nicholas Stanos Architect, PLLC is a full service architectural firm currently focused on providing highly refined design and specialized client service for luxury residential projects in New York City, and along the East Coast and Mid-West.  The firm currently employs a staff of 4 Architects, a part-time Studio Manager, and an Administrative Assistant that provides full architectural services to clients for projects requiring the highest level of quality and customization.

Role summary:

Seeking a full-time Studio Manager & Bookkeeper to provide administrative and accounting support to our small, busy, and dynamic architecture studio. This role requires a self-motivated, schedule-sensitive, organized and analytical manager & bookkeeper that can work autonomously to ensure that the office runs seamlessly from day to day. Daily challenges should be met with grace, focus, and humor.

Responsibilities include office management, project administration, and accounting. This is an ideal opportunity for someone who likes to learn new things and enjoys working on a wide variety of tasks. An appreciation of aesthetics and design is preferred.

Responsibilities:

Accounting

  • Accounts Payable, Accounts Receivable, Management of Payroll (ADP)   
  • Monthly reconciliation of bank statements
  • Keeping up with insurance compliance & forms
  • Create new processes to improve financial efficiency of the business

Project Administration

  • Support Principal Architect with project-related administrative activities (i.e. requisitions, schedules, specifications, correspondence)
  • Support architectural staff with miscellaneous project-related tasks (i.e. package shipments, transmittals, etc.)

Communication

  • Liaise with vendors and consultants as required
  • Answer two-line phone system (low call volume) & distribute messages to appropriate recipients

Office Management

  • Office organization & maintenance
  • Manage office supply levels

Requirements

  • Bachelor’s Degree in Accounting, Business Administration or equivalent
  • Proficient in QuickBooks - minimum 5 years accounting/QuickBooks experience preferred
  • Experienced in various industries – knowledge or experience of architecture, engineering, or interior design firms a plus
  • Excellent communication and interpersonal skills
  • Analytical and proactive sensibilities
