Matthew Baird Architects is an innovative architecture firm with a wide range of projects, including high-end residential, commercial, and institutional. We are seeking a Studio Coordinator. The ideal candidate is self-motivated and can assist with administrative duties, marketing, scheduling, travel-planning, expenses, errands, and various projects as they come up.

 

Responsibilities:

Essential functions include, but are not limited to, the following:

Administrative duties:

  • Develop best practices with office workflow and company policies and procedures
  • Coordinate company marketing efforts
  • Provide support to management (e.g. drafting letters, scheduling appointments, emailing, filing, etc.)
  • Human resource tasks, as needed
  • Maintain inventory and ordering of office and pantry supplies on an ongoing basis
  • Assist in office setup and meeting preparation
  • Coordinate logistics for meetings and company events
  • Organize and maintain library and sample room

Accounting duties:

  • Preparing client invoices
  • Vouchering and data entry of invoices for accounts payable
  • Administration of various corporate vendor accounts
  • Maintenance of the accounting department filing system
  • Preparation of spreadsheets and documentation for year-end review and audits

Receptionist duties:

  • Handle incoming calls and messages
  • Greet clients and guests
  • Route all company incoming and outgoing mail

 

Qualifications:

  • Minimum 1-2 years of reception or administrative experience including an Associates or Bachelors Degree
  • High level of organization and attention to detail
  • Excellent verbal and written communication skills
  • Ability to deal with clients and follow professional business etiquette
  • Experience with writing professional letters, creating appointments, and professional email correspondence
  • Thorough knowledge of Microsoft Word and Excel
  • Ability to multi-task and prioritize in a fast-placed environment
  • Prior marketing experience is preferred
  • Knowledge of Adobe Suite (InDesign, Illustrator, etc.) is a plus
  • Knowledge of Quickbooks is a plus

 

Compensation will be commensurate with experience.
