This is an entry-level professional position in the Sustainability department, reporting to the Sr. Director, Sustainable Practice & Knowledge with dotted line reporting to the Sr. Manager, Strategic Alliances & Initiatives. The incumbent will  provide administrative and project support to the Sustainability department by assisting in achieving the goals of the AIA’s Sustainability Portfolio, which includes but not limited to the  AIA Energy Modeling Working Group (EMWG), the Design and Health Leadership Group, the Materials Working Group, the 2030 task group and the Resilience programs.  The incumbent will work closely with the Sustainability department, other K&P teams,  volunteer leadership, meeting planners, marketing and public relations experts, among others, to complete necessary tasks, including but not limited to providing admin support, planning and developing a number of projects.

 Job Duties:

  • Provide input to and manage assigned projects in the areas of volunteer leadership, budget management, event planning, client management, knowledge and information delivery via print and electronic means, communications and marketing coordination.Work with Content Governance process to ensure Sustainability content is prevalent in AIA communications and website presence.

  • Support programs of the Sustainability department and portfolio.

  • Manage and coordinate other programs between and among a wide range of internal and external AIA partners, including AIA Knowledge Communities.

  • Assist in developing and implementing AIA sustainability plans, communications plans, editorial calendars, and project timelines; assist in developing and managing schedules and deliverables.

  • Work collaboratively with internal cross-departmental team(s) to integrate the AIA’s efforts on Sustainability related activities including member education and outreach.

  • Collaborate with Corporate Sponsorship team, on an as needed basis, as follows: inform Director of sponsorship needs on an ongoing basis; identify appropriate sponsor activities for specific Strategic Initiative projects; provide prospectus needs/details; assist in the development of agreements and delivery of benefits as appropriate.

  • Respond to information requests from AIA members, AIA components, and the general public on AIA Sustainability activities and issues.

Job Requirements

KSAs and Training and Experience:

 

Outstanding written and oral communication skills and organizational skills.  Experience in project management and managing multiple priorities and responsibilities independently. Flexibility, creativity, and high energy are a must.

 

Ability to work independently, using initiative and independent judgment to complete complex projects on or before deadlines. Skill in facilitation, team building, collaborative problem solving, conflict resolution, and systems/process development. Skill in negotiation and active listening. Considerable skill in needs assessment, and defining/designing projects. Considerable knowledge of and skill in monitoring costs, quality and on-time performance of project activities using standard project management techniques. Ability to coordinate a diverse resource pool, to interact effectively in an individual membership environment, recognize and identify member concerns, analyze issues and concepts to correctly state a problem and develop recommended solutions. An understanding of collaboration techniques, methods and trends in the profession of architecture is preferred. Proficiency in Microsoft Word, Microsoft Project, Excel, Power Point, Outlook and knowledge of Internet research methods a must. Experience with content management systems and association management systems, including NetForum, a plus.

 

Bachelor’s Degree in Business, Marketing, Public Relations/Communications, Architecture / or related fields with a minimum of two to three years of administrative and/or project management experience or equivalent combination of education and experience.  Understanding of and some experience working with sustainability in a high performance design environment and/or working in an association a plus.
