AZA design (www.azarchdesign.com) is an Architecture, Design and Project Management firm specializing in luxury retail seeks a full-time Office Manager. The ideal candidate is a highly organized and proactive individual with outstanding communication skills. This position requires a self-starter who can effectively balance many different types of tasks. The candidate must be enthusiastic about office organization, excellent at performing a variety of tasks, and is interested in growing with the position and the company.

Responsibilities include:

  • Manage and ensure smooth day-to-day office operations
  • Some HR duties including hiring, onboarding, assistance with benefits administration & payroll
  • Assistance with bookkeeping
  • AP/AR duties
  • Coordinate with IT consultant the management of computers, software, and printers
  • Perform general clerical duties, arrange travel
  • Assist with Timesheets Software
  • Lunch orders and conference room set up for client ; in‐house meetings
  • Assist with marketing materials
  • Receive and distribute daily mail
  • Assist staff with construction administration paperwork
  • Assist Architects and Interior designers with carrying out misc. tasks
  • Ordering and stocking office and kitchen supplies
  • New employee orientation /transition of workstation, machines, etc.
  • Train staff in implementing new office systems and protocols
  • Assist principals with calendar management and travel bookings
  • Coordinating office events and company outings
  • Keeping the materials library organized
  • Screening and routing phone calls
  • Running office errands as needed
  • Assist staff with administrative duties as requested
  • Additional tasks as necessary

Candidate qualification requirements:

  • Bachelor's Degree and 3+ year of professional administrative experience in an Architecture/Design firm
  • Excellent verbal communication skills, writing skills, organization and impeccable attention to detail
  • Proficiency in Microsoft Office and Outlook
  • Must have strong time management and multi-tasking capabilities
