The function of this position is to provide project coordination and administrative assistance to the staff of the Emerging Professionals Department in support of the team’s programs and projects.  These programs/projects include:   

  • Volunteer Committees
  • Scholarships/Awards/Exhibits
  • Member Communication and Customer Service

 This position will also provide oversight in the day to day operations of the project teams including, but not limited to preparation and distribution of materials.

Job Duties:

  •  Manage account updates and maintain data integrity in AIA database for all Emerging Professionals groups.
  • Update websites ( Career Stages, EPCompanion, ARCHCareers, etc.); work with senior staff to write content.
  • Maintain accurate contact lists and rosters for all committees.
  • Manage mailing lists; create and distribute newsletters, work with committee leaders and senior staff to generate content, and ensure consistent AIA graphic standards for communications.
  • Assists with coordination of committee meetings, events, and conference calls (including travel arrangements, reimbursements, meeting rooms, etc.).
  • Manage and respond to customer service inquiries and messages via AIA Info Central, voice mail, and
  • Develop “standard answers” and decision trees for questions related to Emerging Professionals that can be used by other departments, including AIA Info Central and Member Services.
  • Manage scholarship submissions and related correspondence.
  • Facilitate information gathering via e-mail, surveys, and other mechanisms
  • Assist with content on EP team social media sites (Facebook and Twitter).
  • Create new graphics when required.
  • Assist with convention planning and preparation; minimal travel expected.

Possess organizational skills to coordinate activities that support the operational goals of the Emerging Professionals Department.  Must be a self-starter and team player who values collaboration and takes initiative to accomplish tasks with minimal supervision.

Must have strong oral and written communication skills to respond to customer service requests via telephone, e-mail, and in-person. Superior organizational skills, detail orientation, and excellent interpersonal skills are a must.

Establish and maintain effective and efficient management systems; multi-tasking and managing multiple projects simultaneously required.

Effective design, editing, and proofreading skills preferred.  Strong decision making abilities and ability to problem solve.  Strong diplomacy skills and the ability to work well with others.

Intermediate level or higher skill set in using Microsoft Office, including expertise in Word, Excel, Outlook, PowerPoint, Adobe Suite software; including Photoshop, InDesign, Illustrator, and Dreamweaver.  Some HTML, website editing, video editing experience strongly preferred.

Bachelor’s degree required, preferably in a design (e.g. architecture, landscape architecture, industrial design, graphic design) or marketing/communications field  with a minimum of two years of responsible office/administrative/project support experience.
