SUMMARY

Small, high-end architecture and interior design firm seeks bright, energetic, and dynamic individual for a full-time (9:00-6:00) receptionist and executive assistant position.  This is an ideal opportunity for someone who is self-possessed, motivated and able to thrive in a fast-paced work environment. Candidates must be able to “juggle many hats” and remain composed under pressure.

 

PRIMARY RESPONSIBILITIES

  • As Personal Assistant: provide personal assistance to the firm’s principals, including arranging travel plans, purchasing personal items, and placing restaurant reservations.  Discretion, foresight, and an agreeable attitude are essential.
     
  • As Receptionist: answering and fielding incoming telephone calls to the entire office; management of office calendar: arranging meetings, appointments, and other day-to-day scheduling; facilitation of client meetings: preparation of conference room and presentation materials, reception of clients and other visitors. Overseeing general office maintenance and organization, including stocking kitchen, supply closet and cleaning supplies. Professionalism and common sense are mandatory.
     
  • As Office Administrative Assistant: assist staff with general clerical tasks, such as photocopying, scanning, faxing, mailing, filing, updating spreadsheets, printing  and editing images with Photoshop.

REQUIREMENTS

Candidate must be detail-oriented, thorough and comfortable multi-tasking under pressure. She or he must be personable, outgoing, and articulate with a look and sensibility that reflects our aesthetically-driven workplace and philosophy. Fluent written and verbal communication skills are required, along with a polished phone manner and upbeat professional attitude.

  • College degree, with 1+ years related work experience in New York City required.   
  • Familiarity with ShorTel or other VoIP phone systems a plus.
  • Expert knowledge of Microsoft Office, Outlook and Excel.
  • Working knowledge of Adobe Creative Suite.
